1. Introduction

LuckyMaid is a service operated by Birchard Capital LLC ("we", "our", or "us"). We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our cleaning business management platform.

2. Information We Collect

We collect information that you provide directly to us, including:

  • Account information (name, email address, password)
  • Business information (company name, address, phone number)
  • Client data you enter into the system (names, addresses, contact information, job details)
  • Employee/cleaner data (names, contact information, schedules, clock-in/out records, GPS location data)
  • Financial information (invoices, payments, pricing, payment method preferences)
  • Calendar and scheduling data
  • Booking form submissions (service requests, contact information, addresses)

3. Payment Information

LuckyMaid integrates with third-party payment processors to facilitate payments:

3.1 Subscription Payments

Your subscription to LuckyMaid is processed through Stripe. We do not store your credit card number or full payment details on our servers. Stripe handles all payment card data in compliance with PCI-DSS standards. We store only a reference to your Stripe customer ID and subscription status.

3.2 Client Payment Processing

When you use Stripe Connect or Square to accept payments from your clients, payment card data is handled entirely by the respective payment processor. LuckyMaid does not receive, process, or store your clients' payment card numbers. We receive only transaction confirmations, amounts, and payment status from the payment provider via secure webhooks.

3.3 Payment Data We Store

We store the following payment-related information:

  • Invoice details (amounts, dates, status, line items)
  • Payment transaction records (amount, date, payment method type, status)
  • Payment provider account IDs (Stripe account ID, Square merchant ID)
  • Square OAuth tokens (encrypted at rest) for payment processing on your behalf

4. Google Calendar Integration

When you connect your Google Calendar, we request access to:

  • View your calendars - To let you select which calendar to sync jobs to
  • Create, edit, and delete events - To sync your cleaning jobs as calendar events

We only access calendar data necessary for syncing your jobs. We do not read, store, or share your other calendar events. You can disconnect Google Calendar at any time from the Settings page.

5. SMS/Text Messaging and Mobile Information

When you provide your mobile phone number and opt in to receive SMS messages from LuckyMaid, the following applies:

5.1 Mobile Information We Collect

  • Mobile phone number
  • SMS opt-in consent status and date
  • SMS opt-out requests
  • Message delivery status

5.2 How We Use Mobile Information

Your mobile phone number is used solely to send you service-related SMS messages, including:

  • Booking confirmations and appointment details
  • Appointment reminders
  • Service completion notifications
  • Payment request notifications
  • Quote delivery notifications

5.3 No Sharing of Mobile Information

We do not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or personal information collected through our SMS program to any third party. We will not share your mobile phone number or any information collected through our SMS messaging program with third parties or affiliates for marketing or promotional purposes. Your mobile information will only be shared with our SMS service provider (Twilio) for the sole purpose of transmitting your text messages.

5.4 Opt-Out

You may opt out of receiving SMS messages at any time by replying STOP to any message. After opting out, we will retain your phone number only to honor your opt-out preference. For help, reply HELP to any message or email tidycocleaners@gmail.com.

6. Email Communications

We use Resend as our email delivery provider to send transactional emails including:

  • Booking confirmations and appointment reminders
  • Invoice and payment receipt emails
  • Payment overdue reminders
  • Account and billing notifications

These are transactional messages related to your use of the Service, not marketing emails. Your email address is shared with Resend solely for the purpose of delivering these messages.

7. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process subscription payments and manage your account
  • Facilitate payment processing between you and your clients
  • Send SMS and email notifications related to your appointments and invoices (see Sections 5 and 6)
  • Sync your job schedule with Google Calendar
  • Send you technical notices, billing alerts, and support messages
  • Respond to your comments and questions
  • Monitor for errors and improve service reliability

8. Data Storage and Security

Your data is stored securely using industry-standard practices:

  • Data is stored in Supabase with encryption at rest
  • All connections use HTTPS/TLS encryption in transit
  • Authentication is handled by Supabase Auth with JWT validation
  • Google OAuth tokens and Square tokens are stored encrypted
  • Payment card data is never stored on our servers — handled by Stripe and Square
  • Multi-tenant data isolation ensures your data is separated from other businesses
  • Error monitoring via Sentry helps us detect and fix issues quickly

9. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We do not share your mobile phone number or any personal information collected through our SMS messaging program with third parties or affiliates for marketing or promotional purposes. We may share information only in the following circumstances:

  • With your consent
  • To comply with legal obligations
  • To protect our rights and prevent fraud
  • With service providers who assist in operating our platform:
    • Supabase (database hosting)
    • Vercel (application hosting)
    • Stripe (subscription billing and payment processing)
    • Square (payment processing)
    • Twilio (SMS delivery)
    • Resend (email delivery)
    • Sentry (error monitoring)
    • Google (Calendar sync)

10. Your Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Disconnect third-party integrations (Google Calendar, Stripe, Square)
  • Export your data
  • Opt out of SMS and email communications
  • Cancel your subscription at any time

11. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Upon account cancellation, your data is retained in read-only mode for at least 90 days to allow for reactivation. After 90 days, you may request permanent deletion. You may request deletion of your account and associated data at any time by contacting us.

12. Location Data

The cleaner portal feature may collect GPS location data during clock-in and clock-out for geofence verification (confirming the cleaner is at the job location). Location data is collected only at the moment of clock-in/out and is not continuously tracked. GPS access requires explicit browser permission and can be denied by the user.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by email and by posting the new policy on this page, updating the "Last updated" date.
